SECTION 1: CAMPER & FAMILY INFORMATION

Registration to be completed in MySchoolBucks. Please see registration links below for weekly sessions and before and after care.

SECTION 2: CAMP ENROLLMENT SELECTION

The following sessions are offered each of the three weeks. Discovery Camp is only offered during week 2. Please read the session descriptions above, then select the week(s) and camp theme(s) for which you are enrolling your camper. Registration is confirmed only upon receipt of payment.

SECTION 3: FINANCIAL TERMS & PAYMENT POLICY

3.1  Payment

Full payment is due at the time of registration unless a payment plan has been approved in writing by the camp director. Registration is not confirmed until payment is received. Washington Latin accepts payment through the online payment portal, MySchoolBucks.

3.2  Cancellation & Refund Policy

• Cancellations made 30 or more days before the first day of the enrolled week will receive a full refund, minus a $100 deposit fee.
• Cancellations made 15–29 days before the first day of the enrolled week will receive a 50% refund.
• Cancellations made fewer than 14 days before the first day of the enrolled week are non-refundable.
• No refunds will be issued for missed days due to illness, family emergencies, or other personal circumstances once camp has begun.
• If Washington Latin cancels a camp week for any reason, families will receive a full refund for that week or the option to transfer to another available week.

3.3  Dismissal Grace Period & Late Pickup Fee

Camp concludes at 3:30 PM daily. A 15-minute grace period is provided, during which families may pick up their camper at no additional charge. Campers not picked up by 3:45 PM will be automatically enrolled in After Care for that day and charged the daily After Care rate of $20.

After Care concludes at 5:30 PM. Campers not picked up by 5:30 PM will be charged a late pickup fee of $15 per 15 minutes (or portion thereof) beyond 5:30 PM. Repeated late pickups beyond 5:30 PM may result in dismissal from the program without refund. Late pickup fees are due at the time of pickup and may be charged to the card on file.

3.4  Returned Payments

A $35 fee will be assessed for any declined payments. Enrollment may be cancelled if payment is not resolved within five business days.

SECTION 4: HEALTH, SAFETY & MEDICAL AUTHORIZATION

4.1  Health Disclosure

Please disclose any medical conditions, allergies, dietary restrictions, or physical limitations that may affect your child’s participation in camp activities. This information will be kept confidential and shared only with staff on a need-to-know basis.

4.2  Medication

Camp staff are not permitted to administer prescription medications unless a completed Medication Authorization Form has been submitted and approved. Over-the-counter medications (e.g., sunscreen, insect repellent) may be applied by staff with written parent permission. Please contact the camp director prior to enrollment if your child requires medication during camp hours.

4.3  Emergency Medical Authorization

By signing this contract, the parent/guardian authorizes Washington Latin Summer Camp staff to seek emergency medical treatment for the camper in the event that the parent/guardian cannot be reached. The parent/guardian agrees to be responsible for all costs associated with such treatment.

4.4  Illness Policy

Campers who are ill should not attend camp. Campers who become ill during the day will be isolated from the group and the parent/guardian will be contacted for immediate pickup. Campers with fever, vomiting, or diarrhea must be symptom-free for 24 hours before returning to camp. No refunds will be issued for days missed due to illness.

4.5  Photograph & Media Release

Washington Latin may photograph or video campers during camp activities for use in school publications, website, social media, and promotional materials. No camper will be identified by full name in public media without explicit written consent.

SECTION 5: BEHAVIORAL EXPECTATIONS & DISMISSAL POLICY

5.1  Camper Code of Conduct

Washington Latin Summer Camp is committed to maintaining a safe, respectful, and joyful environment for all campers and staff. All campers are expected to:

• Treat all campers, staff, and guests with dignity and respect
• Follow instructions from camp staff promptly and cooperatively
• Refrain from physical aggression, bullying, harassment, or threatening behavior of any kind
• Respect camp property and the property of others and remain within designated camp areas at all times
• Refrain from bringing or using electronic devices, weapons, or prohibited substances
• Communicate needs and concerns respectfully to camp staff

5.2  Disciplinary Process

Washington Latin staff will address behavioral concerns with the following progressive approach where appropriate: verbal redirection, reflection time, parent/guardian notification, behavioral agreement. Washington Latin reserves the right to skip steps in cases of serious misconduct.

5.3  Dismissal Policy

Washington Latin reserves the right to dismiss a camper from the program at any time for behavior that endangers the safety or well-being of other campers or staff, repeated violations of the Code of Conduct after intervention, possession of prohibited items, or any behavior deemed by camp leadership to be incompatible with a safe camp environment. In the event of dismissal, no refund will be issued for the remaining days of the enrolled week. The parent/guardian will be required to pick up the camper promptly.

SECTION 6: OPERATIONAL POLICIES

6.1  Drop-Off & Pickup

Camp hours are 8:30 AM – 3:30 PM daily. Drop-off begins at 8:30 AM. Campers must be signed in and out each day by an authorized adult. For the safety of all campers, individuals not listed on the authorized pickup list will not be permitted to pick up a camper without prior written notice from the parent/guardian. 

Campers who are permitted to self-release (e.g., walk home or take public transportation such as the Metro) must have a signed self-release permission form on file from a parent/guardian. Self-release will only be allowed if written authorization has been submitted in advance and approved by camp administration.

6.2  What to Bring

• Comfortable, weather-appropriate clothing and closed-toe shoes
• Any theme-specific materials communicated in advance by camp staff

6.3  Electronics Policy

Personal electronic devices including cell phones, tablets, and gaming devices are not permitted during camp programming. Devices brought to camp will be collected at check-in and returned at dismissal. Washington Latin is not responsible for lost, stolen, or damaged personal electronics.

SECTION 7: LIABILITY WAIVER & RELEASE

I, the undersigned parent/guardian, acknowledge that participation in Washington Latin Summer Camp activities involves inherent risks, including but not limited to physical activity, arts and crafts materials, and group interaction. I voluntarily assume all such risks on behalf of my child.

In consideration of my child’s participation, I hereby release and hold harmless Washington Latin Public Charter Schools, its board of governors, administrators, employees, volunteers, and agents from any and all claims, damages, losses, or expenses arising out of or related to my child’s participation in Washington Latin Summer Camp, except in cases of gross negligence or willful misconduct.
